Commercial Grounds Maintenance Terms of Service

At 4 Facilities & Affiliates LLC, we are committed to providing professional, reliable, and consistent commercial landscape maintenance services for HOAs, apartment communities, office parks, shopping centers, distribution centers, churches, industrial properties, and commercial facilities.

• 42 scheduled maintenance visits per year including mowing, edging, string trimming, and blowing of walkways, entrances, sidewalks, and parking lots
• Included services consist of small debris removal, bi-weekly weed control, bi-weekly hedge trimming under 6 feet, and monthly irrigation inspections
• During non-growing season (October through March), maintenance services are performed on a bi-weekly schedule due to seasonal growth conditions
• Trees and vegetation 6 feet and under are trimmed once annually. Tree trimming or maintenance exceeding 6 feet requires a separate quote, approval, and additional charge
• Dry, damaged, thinning, stressed, diseased, or non-growing grass, flowers, plants, or turf areas may be avoided during maintenance to prevent long-term damage or turf loss. Corrective treatments, restoration, replacements, or enhancements require separate approval and pricing
• Pressure washing, mulch installation, rock installation, irrigation repairs, storm cleanup, hauling, landscape enhancements, tree work exceeding 6 feet, and all services outside the approved scope of work require a separate assessment, quote, approval, and additional charge
• Properties with excessive overgrowth, neglected beds, storm accumulation, or unsafe conditions may require an initial cleanup or restoration service prior to recurring maintenance pricing
• Services are performed Monday through Friday during daylight hours. Spring/Summer hours are typically 7:00 AM–7:30 PM and Fall/Winter hours are 7:00 AM–6:00 PM
• For safety and turf protection, services will not be performed during rain, severe weather, flooding, high winds, lightning, drought conditions, or Acts of God. Missed services will resume on the next scheduled service date. Storm debris and fallen limbs require a separate quote
• Weed control applications are weather dependent and results may vary based on rainfall, irrigation conditions, temperature, existing turf health, and environmental conditions
• 4 Facilities & Affiliates LLC is not liable for damages to unmarked or improperly buried irrigation systems, utilities, drainage lines, low-voltage wiring, invisible fencing, lighting systems, or underground components. Clients are responsible for properly marking all hidden systems prior to service
• 4 Facilities & Affiliates LLC is not responsible for inaccessible areas caused by locked gates, blocked entrances, parked vehicles, construction, pet waste, furniture, décor, hoses, toys, or obstacles left within service areas
• Patios, entryways, and landscape areas containing furniture, décor, potted plants, or personal belongings will not be blown off unless cleared prior to service
• Browning, fungus, pest activity, drought stress, overwatering, underwatering, thinning turf, or pre-existing lawn conditions are not the responsibility of 4 Facilities & Affiliates LLC
• Residents, tenants, employees, or occupants are strictly prohibited from directing, stopping, or addressing field crews regarding complaints, pricing, scheduling, additional work, or service concerns. Crew members are assigned strictly for maintenance operations only. All communication, requests, complaints, approvals, and meetings must be coordinated directly through management
• Recurring maintenance services are billed Net 30. Additional work, repairs, enhancements, and specialty services are due upon receipt. Accounts exceeding 60 days past due may result in immediate suspension of services until balances are paid in full
• Due to fluctuations in fuel costs, disposal fees, labor, materials, insurance, and operational expenses, 4 Facilities & Affiliates LLC reserves the right to periodically adjust pricing when necessary. Clients will be notified prior to implementation of any pricing changes
• To maintain professional standards, safety, and equipment reliability, commercial equipment undergoes scheduled maintenance throughout the year. Maintenance is typically scheduled during non-peak seasons whenever possible. Clients will be notified of any temporary scheduling adjustments related to equipment servicing
• This agreement automatically renews annually unless terminated in writing pursuant to the cancellation terms outlined herein
• A 60-day written notice is required for cancellation of recurring maintenance agreements. Upon notice of cancellation, final payment for the remaining 60-day service period is due upfront to secure service through the end of the agreement term
• 4 Facilities & Affiliates LLC reserves the right to photograph properties before, during, and after service for documentation, quality control, marketing, and liability purposes
